Policy

We appreciate you taking the time to carefully read and consider the policies stated below.

Booking Policies

 Facility Rentals


  • 50% deposit on the Facility Rental/Accommodation portion of each invoice is required to secure a booking.
  • Booking invoice balance is due 30 days prior to arrival date.  

Facility Rental 

  • Refund minus 10% fee for cancellations made more than 90 days prior to arrival date. 
  • Refund minus 25% fee for cancellations made between 30 and 90 days prior to arrival date. 
  • Refund minus 50% fee for cancellations made within 30 days of arrival date. 
  • All activities on land/water are subject to cancellation based on weather conditions and/or sea state.
  • In the event that an included activity is cancelled and cannot be rescheduled during a guests stay, a supplementary activity will be offered in exchange chosen by Cedar Coast.
  • There is a zero tolerance policy for alcohol or substances during activities, if guests arrive for their activity under the influence they will not be allowed to participate.
  • If an additional-cost activity is cancelled due to forces outside of our control including but not limited to weather and sea state, the cost of the activity will be fully refunded if we are unable to reschedule during your stay.
  • If an additional-cost activity is cancelled by the participants, they are subject to the 3rd parties cancellation policies.

For In-season Bookings (April 1st-October 15th)

  1. Cedar Coast holds the right to reschedule or cancel any planned transport provided by Cedar Coast due to weather conditions which exceed our Standard Operating Procedures
  2. If Cedar Coast must cancel a departure due to weather conditions, guests will have the opportunity to reschedule the trip and a deposit will be applied to the next booking.
  3. If you decide to cancel the trip entirely due to a weather delay, your full deposit amount will be refunded. 


For Off-Season Bookings (October 16th-March 31st)  an additional $500 administration fee will be charged for cases 2 & 3 above.

Cedar Coast does not encourage off-season bookings (October 16th-March 31st)  due to the likelihood that a trip will have to be cancelled or rescheduled due to inclement weather and/or sea state. If a group wishes to visit during the off-season, they must accept this additional risk which is reflected in our cancellation policy. This policy was created to ensure that the cost of the time and resources used to plan your off-season visit does not create financial hardship for Cedar Coast Art and Ecology should you have to cancel your trip.

Visitor Policies

Due to the nature of operating an education centre from a boat-access-only, coastal island- we are constantly checking the marine forecast. We’re not so concerned with rain or sunshine, but rather wind and swell. Depending on the time of year and local weather events, it can become impossible to safely access Vargas Island. Therefore, we do our best to communicate the inherent risk and challenges of planning a trip to Cedar Coast— particularly in our off-season between October 16th and April 14th. Additionally due to the remoteness and wildlife presence on Vargas Island, Cedar Coast cannot accommodate pets.

Please review our Off-Season Booking Disclaimer prior to booking your trip.

  • Check-in: 4PM departure from 630 Campbell St. Tofino to Cedar Coast.
  • Check out: 10:30 AM departure from Cedar Coast to 630 Campbell Street, Tofino.
  • Guests arriving after daylight hours will not be able to get to Cedar Coast until the following morning and will forfeit their first night without refund.
  • Guests arriving between 4PM and sunset, must inform Cedar Coast of their late arrival before 12 PM on the arrival day.
  • Late arrivals may be facilitated by a third party, depending on availability.

 Smoking is prohibited inside all rental units, rooms and communal facilities with the exceptions of the designated smoking area. Guests are liable for a $300 cleaning fee in restricted smoking areas.

  • Campfires are prohibited outside of Cedar Coast campfire designated areas.
  • Fire must fall within the local fire regulations.
  • Any unauthorized fire may result in fines and/or termination of booking without refund.
  • Cedar Coast is not licensed to provide liquor. 
  • Personal alcoholic beverages can be brought and consumed at Cedar Coast. 
  • Please note people under the influence of alcohol or illicit substances will not be permitted to participate in any of the Cedar Coast activities and disorderly behaviour may result in termination of booking without refund.

 Noise should be kept to a minimum outside of 8 am to 10 pm (whole facilities rental excluded).
